General Terms & Conditions

Please read the following terms and conditions carefully before completing your booking.

1. All rates are per room per night (INR), exclusive of GST. A flat 5% GST is applied once on the total booking amount (hotel + transport combined) at checkout — it is not charged separately per night or per item.
2. Dormitory and sharing accommodation rates are charged per bed per night. All other room categories are charged per room, irrespective of the occupancy tier.
3. Triple occupancy configuration (double bed with rollaway bed or three single beds) varies by property and will be confirmed at the time of booking. Guests are advised to verify the room configuration before confirming their reservation.
4. Rates are valid only for stays within January 2027:
   • Check-in: 8th or 9th January 2027
   • Check-out: 10th or 11th January 2027
   Bookings outside these dates will be charged at the prevailing market rates.
5. Cancellation Policy:
   • More than 90 days before check-in – Full refund after deducting a 10% processing fee.
   • 60–90 days before check-in – 50% of the booking amount will be retained.
   • Within 60 days of check-in or in case of a no-show – No refund.
6. Name changes are permitted up to 30 days before the event, subject to the hotel's policy. A valid government-issued ID for the replacement guest must be provided.
7. Driver accommodation is subject to availability at or near the selected property. MICE Globals will assist in arranging the same, with details confirmed individually by the respective hotel.
8. MICE Globals will provide a dedicated hotel help desk at every participating property to assist guests with check-in procedures and event-day logistics.
9. Hotel amenities mentioned are indicative and may vary according to the property's policies. Final inclusions such as breakfast, parking, Wi-Fi, and other facilities will be confirmed at the time of booking.
10. Special requests including early check-in, late check-out, extra mattresses, or accessibility requirements should be mentioned during the booking process. All such requests are subject to hotel approval and may incur additional charges.
11. All reservations are subject to room availability at the time of confirmation. Considering the expected event attendance of approximately 9,000–10,000 participants, guests are strongly encouraged to book their accommodation well in advance.
